RICHMOND ROVERS RUGBY LEAGUE Secretary POSITION DESCRIPTION

POSITION: REPORTING TO the Richmond Rovers Rugby League Senior Management Committee
Date: November 2008

ROLE: The Club Secretary is responsible for the efficient management, co-ordination, communication and smooth running of all administrative tasks undertaken by the club.

The Secretary is:
1.To keep documented records of all inward and outward correspondence, and applicable information for the club.
2. Provide ample notice and an agenda of every SMC meeting to the committee members’, and to take the minutes at all meetings and distribute to the members of the SMC in a timely manner.
3. Prepare a report of the Clubs achievements and future aspirations for the annual general meeting in conjunction with the Premier Manager and the Chairperson.
4. Perform such other duties as may be determined from time to time by the senior management committee and the club constitution.
5. To affix the seal pursuant to a resolution of the senior management committee in the presence of two committee members, one of whom shall be the Chair or the Treasurer who shall sign the document or instrument to which the seal is so affixed.  To keep a season register.
6. To be an ex officio member of all Sub-Committees appointed by the SMC.
7. To be a member of the Grants Sub-committee with the Treasurer and Convenor, JCB and to keep file copies of all grant applications applied for as approved by a resolution of the SMC.
8. To be the point of contact for all enquiries to and from the governing bodies, ARL and NZRL.
9. To be a member of the Executive consisting of the Chairperson, Treasurer and Secretary.
10. To clear the mail box and to post all advertising required for the club in conjunction with the Club Treasurer.
